In this article, we explain how a MyKoalect admin can record offline donations on a project pag and how organisations can enable project owners to do this as well.
What are offline donations?
Offline donations are contributions collected outside of the Koalect platform. For example cash collected at an event, a bank transfer, or a cheque. These contributions can be recorded manually so they count toward the project total and appear alongside online donations on the project page.
How does a MyKoalect admin add an offline donation?
- Go to MyKoalect → Projects and open the project page you want to add transactions to.
- Click the button in the top right corner of the project page.
- Fill in the donation amount and the donor’s name.
- Repeat this step for each donation you wish to add.
| Tip: If there are many individual donations to process, consider adding a single offline transaction representing the total amount. You can mention in the donor name field that it represents the sum of all collected donations for that project (e.g. “Sum of offline donations – Project X”). |

How does a project member add an offline donation?
When the organisation allows project members to add offline donations in the project page settings, project members will see an “Add contribution” button in the Contributions tab of their project page. Clicking it opens a simple form with the following fields:
- Amount — required, no minimum or maximum
- Donor name — required (“Contribution in the name of”)
- Anonymous — optional checkbox to hide the donor’s name on the public page
- Date and time — optional; if left blank, the submission date and time are used automatically
Once submitted, the contribution appears immediately in the contribution list and is counted toward the project total.
How does the organisation enable this feature?
The feature is disabled by default. Organisations can enable it per campaign in MyKoalect under the campaign settings, using the toggle “Allow project members to add offline contributions”. Once enabled, all project members on that campaign gain access to the button.
| Note: Project members cannot edit an offline donation after it has been added. To correct a mistake, delete the contribution and create a new one. |
